Event/Conference Terms & Conditions

Introduction

Thank you for registering for this American Society for Clinical Laboratory Science – Missouri (“ASCLS-MO”) event or activity. All conferences, meetings, events, conventions, seminars, webinars, classes, virtual activities, happy hours, meet-ups, or other related types of activities (“Conference”) will be governed by this and other policies of ASCLS-MO. Regardless of whether you or your proxy submits your registration, the following Conference Terms and Conditions (“Terms”) apply to you and your participation in any ASCLS-MO Conference, both in-person and virtual. Depending on the type of Conference, specific terms below may not apply. An “Attendee” for the purposes of these Terms will include all participants at the Conference, including Exhibitors, Attendees, and Guests. By participating in this Conference, you agree to these Terms, so please read them carefully. These Terms include and incorporate by reference ASCLS-MO’s Privacy Policy.

Prior to your registration, you must acknowledge and accept these Terms and Conditions. Should you not wish to accept the Terms and Conditions, you should not register to attend an ASCLS-MO Conference. Registration submission is regarded as a positive affirmation of your acceptance of the Event and Conference Terms and Conditions.

This Conference is organized by ASCLS-MO, which reserves the right, in its sole discretion, to limit or deny access to any entity or individual for any reason or no reason. To be eligible to participate, you must be 18 years old or older.

Conferences or Events Registration

Attendee Cancellation and Refund Policy

If circumstances change and you can no longer attend this Conference, you may cancel your registration by providing written notice to the ASCLS-MO Event team at admin@asclsmo.org. Our attendee cancellation policy is outlined below. 

Registrations may be refunded or a ticket re-activated if cancellation is made in writing at least 30 calendar days before the in-person Conference start date or at least seven calendar days before the virtual Conference start date. Cancellations received after the cancellation cutoff date or nonattendance will not be refunded, and tickets will not be re-activated. The registration amount remains due in full for cancellations received after the cutoff date with a balance due. If you are granted a refund, ASCLS-MO will refund any applicable fees within ninety (90) days after receipt of your cancellation notice.

Please remember that canceling or changing your registration does not automatically cancel your hotel and/or travel arrangements. Attendees are solely responsible for canceling their hotel and travel reservations. ASCLS-MO takes no responsibility for any damages, costs, or losses should you cancel or change your registration or if the ASCLS-MO Conference is postponed.

ASCLS-MO may cancel your Conference registration at any time for convenience. Upon such cancellation for convenience by ASCLS-MO, ASCLS-MO shall refund any fees you previously paid within ninety (90) days of cancellation.

Force Majeure

After the cancellation cutoff date, payments made are not refundable for any reason, including, but not limited to, failure to use conference attendance credentials due to illness or due to any event beyond the reasonable control of the parties, such as an act of God, natural disaster, travel-related problems, epidemic, pandemic, or an act of terrorism.

ASCLS-MO shall not be held responsible for any delay or failure in the performance of its obligations hereunder to the extent such delay or failure is caused by fire, flood, strike, civil, governmental or military authority, acts of God, acts of terrorism, acts of war, epidemics, pandemics, the availability of the venue or other similar causes beyond its reasonable control and without the fault or negligence of ASCLS-MO or its subcontractors or partners. In the event the Conference cannot be held or is postponed pursuant to this section, ASCLS-MO shall not be liable to any Attendee for any damages, costs, or losses incurred, such as transportation costs, accommodations costs, or financial losses. ASCLS-MO will review the refund and/or fee transfer requests, submitted in writing, for approval on a case-by-case basis. All refund and/or fee transfer request decisions will be made at the sole and final discretion of ASCLS-MO.

Liability Waiver and Release

In consideration of being allowed to register for, and participate in the Conference, you hereby warrant and represent that you are age 18 or above and freely waive, release from liability, assume all risks, and covenant not to sue ASCLS-MO or its members, employees, board members, directors, agents, or volunteers for any expense, loss, damage, personal injury, including loss of life, illness (including but not limited to COVID-19), disability, property damage, or property theft or actions of any kind that you may hereafter suffer or sustain before, during, or after the Conference, unless said expense, loss, damage, personal injury, including loss of life, illness, disability, property damage or property theft or actions of any kind is caused by the sole, gross negligence of ASCLS-MO. This Liability Waiver and Release is specifically binding upon your heirs and assigns and is knowingly given.

COVID-19 Assumption of Risk, Release and Hold Harmless

You understand that participation in events or Conferences and travel to and around the Conference’s physical location will increase your risk of, exposure to, and contraction of communicable diseases, bacteria, agents, and viruses such as COVID-19. Regarding COVID-19, you acknowledge and understand that COVID-19 is a highly contagious and dangerous disease that spreads easily through person-to-person contact. You further acknowledge and accept that participating in an ASCLS-MO Conference carries with it certain inherent risks that cannot be eliminated regardless of the care taken to avoid such risks, that there is presently no known way to provide complete protection from the virus, and that you could contract COVID-19 even though the ASCLS-MO Conference has taken reasonable steps to prevent the risk of transmission of COVID-19. By participating in the ASCLS-MO Conference, you assume these risks and agree to release and hold harmless the ASCLS-MO Conference and the Venue, and their respective employees, agents, subcontractors, and representatives from any damages, losses, injuries, liabilities, claims, and expenses arising from the contraction or spread of communicable diseases, bacteria, agents, and viruses such as COVID-19, due to your travel to, from, or participation in any aspect of an ASCLS-MO Conference. This obligation is binding on you and your successors and heirs.

Substitution of Registration Policy

Registrations may be substituted at any time up to 72 hours before the Conference start date, and the substitution must be from within the registered attendee’s company. All substitutions must be approved and will be at ASCLS-MO’s sole discretion. Please note that some registration types do not allow substitutions, and no substitutions will be permitted in instances of a sold-out Conference. A maximum of one (1) substitution per original registered Attendee is permitted. ASCLS-MO reserves the right to assess a $25 processing fee for each ASCLS-MO approved substitution. “No Shows” will be deemed a cancellation per the cancellation cutoff date in the Cancellation Policy listed above. Additional terms may apply. Please consult your ASCLS-MO representative or contact the ASCLS-MO Event team at admin@asclsmo.org with any questions.

Credential and Badge Policy

Swapping or sharing of Attendee badges/passes/credentials (“Credentials”) is not permitted at any time. Any Attendee found using another Attendee’s Credential or loaning out their Credential to another individual will have the Credential confiscated and will be removed from the premises, along with the other individual, and without refund.

Credentials are issued to, and can be picked up by, and used only by the Attendee named in the registration. A government-issued photo ID will be required for each Attendee when collecting Credentials onsite. Photocopies and electronic copies are not considered an acceptable form of ID. All Conference Credentials that ASCLS-MO issues are the sole and exclusive property of ASCLS-MO and must be surrendered upon demand to ASCLS-MO and/or its representatives or agents. Credentials must be worn and prominently displayed at all times during the Conference or designated off-site activities.

False certification of an individual as an Attendee or Exhibitor’s representative, misuse of an Attendee Credential, or any other method or device used to assist unauthorized personnel to gain admittance to the Conference and/or Exhibits will be cause for expelling the Attendee and their representative(s) from the Conference and/or banning them from future ASCLS-MO Conferences. This would also warrant the removal of the Exhibitor’s booth from the floor without obligation on the part of ASCLS-MO for the refund of any fees. ASCLS-MO reserves the right to remove any Attendee from the Conference found violating these conditions and may restrict this Attendee and/or their company from participating in future ASCLS-MO Conferences. The Attendee, Exhibitor, any of their employees or agents, and anyone claiming to be in the Conference through the Attendee waives any rights or claims for damages arising out of the enforcement of this rule or for any removals of Attendees or Exhibitors from the Conference.

For all virtual or online-only Credentials, login Credential swapping and/or sharing is strictly prohibited. Any Attendee suspected of or found using another Attendee’s Credentials or loaning out their Credentials to another individual will have their Credentials revoked without refund.

An ASCLS-MO Conference Credentials allows an Attendee entry to the overall Conference but cannot guarantee admission to every session, lounge, meeting area, exhibitor hall, special event, etc. Admission is subject to venue capacity and other requirements. For example, some sessions may be restricted from exhibitor Attendees.

Group Discount Program

Groups must consist of employees of the same organization, and discounts only apply to the same Conference. At those Conferences where we offer the Group Discount Program, there is a limit of four (4) Group Rate Discount complimentary registrations per organization per Conference.

Only one discount may be applied to an individual registration. Multiple discounts cannot be combined except for any potentially available early bird discount.

In order to receive the group discount and be admitted to the Conference, all registrations must be paid in full. Cash and paid ticket registrations both qualify for the group rate discount. A combination of paid tickets and cash registrations may be used to qualify for Group Rate Discount complimentary registrations. Some restrictions may apply to ticket registrations. Contact your ASCLS-MO representative or the ASCLS-MO Event team at admin@asclsmo.org if you have questions. The Group Rate Discount Program does not apply to virtual Conference registrations.

To receive the Group Discount, you must purchase all the Full Conference Passes using one (1) credit card in a single transaction. At the time of purchase, you will be sent, via email, a code (“Registration Code”) unique to your company that you can distribute to the individuals in your group. Each individual will be required to enter this group Registration Code as they begin their registration process.

Institutional Pass Program

An Institutional Pass is a type of pass that must consist of employees of the same organization, and discounts only apply to the same Conference. There may be differences in the discounts or complementary registrations offered as part of the Institutional Pass Program. The differences for this program are the result of member vs. non-member institutional registrations and the size of the pass program or membership that you might be a part of at the time of Conference registration. Passes subject to this program are sometimes called corporate membership passes. The Institutional Pass Program may not be offered or available at all ASCLS-MO Conferences.

Only one discount may be applied to an individual registration. Multiple discounts cannot be combined.

In order to receive the group discount and be admitted to the Conference, all registrations must be paid in full. Some restrictions may apply to ticket registrations. Contact your ASCLS-MO representative or the ASCLS-MO Event team at admin@asclsmo.org if you have questions. The Institutional Pass Program does not apply to virtual Conference registrations.

Full Conference Student Discount

To qualify for the Full Conference Student Discount, proof of your student standing will be required during ASCLS-MO Conference registration check-in. Students must bring a copy of their current class schedule showing enrollment in a minimum of twelve (12) units or credits and a valid student ID. Students must also be at least 18 years old at the time of attendance. Failure to produce proof of student status will result in a charge of the Onsite Full Conference Pass registration fee at whatever the then current rate is.

Adjustment of Registration Fees

After an Attendee’s registration is completed, ASCLS-MO reserves the right to review the information provided by the Attendee and adjust the ticket type or registration and the related fees/costs if it is found that the information provided by the Attendee has been misrepresented, false, incorrect, or forged. Any adjustment to fees/costs will be charged to any payment method on file or will be invoiced to the Attendee. Attendees must have all outstanding charges paid in full before the Conference starts to be granted admittance to the Conference. ASCLS-MO will make these determinations at its sole discretion, and all adjustments of registration fee determinations are final.

Payment Terms

Currency Exchange Rate Disclaimer: Each Attendee or Cardholder confirms acknowledgment and acceptance of a potential gain/loss incurred by any adjustments made by their bank due to the currency rate exchange. ASCLS-MO will not be liable or responsible for any loss incurred by the Attendee or Cardholder from an adjustment made due to the currency exchange rate. Nor will ASCLS-MO pursue the Attendee or Cardholder for collection if that adjustment should be made in the Attendee’s or Cardholder’s favor.

Submission of a registration online, by phone, by email, by fax, or by physical mail constitutes an official registration and intent to attend the Conference. Invoices are payable upon receipt, and complete payment must be received before the Conference to gain entry to the Conference. Until your full payment is received, you will not have access to any pre-conference features, functions, or entitlements. Please note that ASCLS-MO does not accept cash payments onsite at the Conference, unless required by law.

You agree that in the unlikely event that ASCLS-MO cannot resolve your payment issue and you dispute the credit card charge, your electronic statement may be used as evidence that said charge is valid and just. If there are any issues with your credit card charge, please contact the ASCLS-MO Event Team at admin@asclsmo.org for further assistance.

While highly discouraged, if you are paying by check, the envelope must be postmarked by the corresponding discount deadline date to receive the discount pricing. A purchase order is not an accepted form of payment.

Retroactive application of discount codes is not allowed. Requests for any exception must be made in writing to the ASCLS-MO Events team at admin@asclsmo.org. All decisions are at ASCLS-MO’s sole discretion and shall be considered final.

Websites and Links

ASCLS-MO and our affiliated partners or subcontractors, through the use of their websites or apps, may link to other websites or networking tools, which are provided for the convenience of the Attendees. The content of these websites or linked locations is maintained by their respective owners, and ASCLS-MO takes no responsibility for those sites or their content. ASCLS-MO is also not responsible for the contents of any website that may link back to any of the ASCLS-MO websites or apps.

Insurance

It is your responsibility as an Attendee to arrange for appropriate insurance coverage as it relates to your attendance at the Conference. ASCLS-MO cannot be held liable for any loss, liability, or damage to your personal property.

Admittance

ASCLS-MO, in its sole discretion and without refund or liability, reserves the right to refuse admittance to or expel from the Conference anyone that it determines is behaving in a manner that could be disruptive to the Conference or any other Attendee.

Hotel, Meetings, and Hospitality Functions

Attendee agrees that they will not, nor will their employees, agents, or representatives conduct any type of function in the Conference facilities or any of the participating hotel’s meeting rooms, public areas, hospitality suites, or other on-site locations during Conference hours without the prior written consent and approval from ASCLS-MO. You can contact the ASCLS-MO Event Team at admin@asclsmo.org for further assistance. ASCLS-MO reserves the right to collect a commission from the hotel for rooms booked by Attendees.

Drone Policy

The use of drones or unmanned aerial vehicles (“UAV”) is strictly prohibited at all times throughout the entire Conference, the venue, and any nearby or adjacent areas outside of the venue. This restriction applies to all off-site locations or activities as well. For the purposes of clarity, UAVs are devices that are used or intended to be used for flight in the air with no onboard pilot (either controlled manually or through an autopilot using a data link to connect the pilot to the UAV).

Unauthorized Interception of Digital Data

Any unauthorized effort to intercept digital data is strictly prohibited. Examples of prohibited interception include:

  • Collecting electronically transmitted data without the consent of the owner of that data.
  • Collecting electronically transmitted data with the data owner’s consent but under fictitious pretenses or circumstances.

This strict prohibition further includes, but is not limited to, the following technologies when used to collect data under deceptive or nonconsensual means:

  • RFID/radio-frequency identification
  • NFC/near-field communication
  • Bluetooth wireless technology
  • Wi-Fi technology

Before the Conference

Before Conferences with Exhibitors

To ensure all our Attendees and Exhibitors derive the greatest value from our Conferences, we may share a list of company names and job titles (but not name or contact details) of Attendees with Exhibitors for their planning purposes before the conference. If you prefer to opt out of such sharing, please email the ASCLS-MO Event team at admin@asclsmo.org. Please note that if you engage directly with an Exhibitor during an in-person or virtual Conference (e.g., choose to have your attendee badge scanned by an Exhibitor at an in-person conference or share your business card with them), we may share your name and contact details with that Exhibitor as disclosed in more detail below.

Before Non-Exhibitor Conferences

To ensure all of our Attendees derive the greatest value from our non-Exhibitor Conferences (e.g., training classes, happy hour, etc.), we may share company names, job titles, and names of Attendees with other Attendees for their planning purposes before the Conference. If you prefer to opt out of such sharing, please email the ASCLS-MO Event team at admin@asclsmo.org.

At the Conference

Attendance at Exhibitor Sessions

By attending an Exhibitor session at a virtual or in-person Conference, you are authorizing your registration information to be shared with that particular Exhibitor. You agree to receive communications from such Exhibitor, subject to that Exhibitor’s privacy practices, including their privacy statement or policy.

ASCLS-MO Use of Badge Scanning at In-Person Conference

RFID and Location Tracking

ASCLS-MO and our affiliated partners or subcontractors may use RFID badge scanning technology in the Conference badge at some of our Conferences to administer and improve the Conference experience and solicit feedback and/or interest in ASCLS-MO products and services. During registration check-in for these Conferences, you can select a badge without RFID scanning. Per our Privacy Policy, we will not share your personal information with a third party without your consent.

ASCLS-MO does not share RFID information with any third parties for commercial purposes.

Location-Based Alerts

ASCLS-MO and our affiliated partners or subcontractors may use iBeacon or similar technology in conjunction with the ASCLS-MO Conference Mobile Application and/or Conference Website at some of our Conferences to administer and improve your Conference or event experience and solicit feedback and/or interest in ASCLS-MO products and services, including the delivery of app features and notifications based on Attendee location. You will be prompted to Opt-in to use this feature within the mobile application at any Conference where iBeacon or similar technology is in use. Please note that most mobile devices allow for configurations such that this can be disabled on either a per-app or per-device basis.

ASCLS-MO Sessions and Functions

ASCLS-MO and our affiliated partners or subcontractors may use badge scanning to determine session attendance, deliver session surveys, manage session capacity, and enforce session restrictions. Data from badge scanning may be used to allow you to see a list of sessions you attended in the ASCLS-MO Conference Mobile Application and/or Conference Website. Attendance data from ASCLS-MO sessions and functions will not be shared with Exhibitors.

Exhibitor Use of Badge Scanning at In-Person Conference

ASCLS-MO may also allow Exhibitors to do their own badge scanning at the Conference. ASCLS-MO is not responsible for Exhibitor scanning. When an Exhibitor scans your badge at the entrance to an Exhibitor session or function, you are consenting to allow that Exhibitor to use your contact information to communicate with you about their services and special offers, which are subject to that Exhibitor’s privacy practices, including their privacy statement or policy.

PLEASE BE AWARE THAT EXHIBITOR SCANNING OF ATTENDEE BADGES IS OPTIONAL, AND ATTENDEES MAY – WITHOUT PENALTY – REFUSE TO HAVE THEIR BADGES SCANNED AT BOOTHS AS WELL AS AT THE ENTRANCE TO EXHIBITOR SESSIONS AND FUNCTIONS.

Exhibitor Engagement at Virtual Conference

By accessing the content in an Exhibitor’s Area, available on the virtual conference platform, or by engaging directly with the Exhibitor, you are authorizing your registration information to be shared with that particular Exhibitor. You agree to receive communications from such Exhibitor, subject to that Exhibitor’s privacy practices, including their privacy statement or policy.

Session Availability

Your Conference registration provides access to specific sessions based on your Attendee profile and registration ticket/package, such as your end user, member, or vendor status. ASCLS-MO cannot guarantee admission to every session or event. Session admission is subject to venue capacity and other criteria. Building an agenda on the ASCLS-MO Conference Mobile Application and/or Conference Website does not guarantee access to any sessions.

Guest Speakers

ASCLS-MO Guest Speaker sessions are central to the success of ASCLS-MO Conferences. To provide our Attendees with a platform for the exchange of ideas and insights, we invite key figures from various industries to share their personal perspectives concerning the challenges and opportunities facing businesses today. Guest speakers are not employees of ASCLS-MO, and ASCLS-MO neither pre-reviews nor comments on the content of our guest speakers’ sessions. Guest Speaker views and opinions are entirely their own and in no way reflect the views and opinions of ASCLS-MO.

ASCLS-MO may use the Guest Speaker’s name, pictures, biography, presentation materials, and other artifacts to promote attendance at the Conference. Presentations, papers, and handouts, including all associated artwork and illustrations, will not be returned unless specifically requested by the author. The papers must be objective and completely free of advertising and commercialism. ASCLS-MO may audio and/or videotape the Guest Speaker’s session, and the recording may be reproduced and sold as part of the overall Conference materials. ASCLS-MO may reproduce copies of the speaker’s presentation (e.g., PowerPoint slides or supporting handouts) on paper and/or in electronic means, and these may be sold as part of the overall hand-out materials during the Conference and after the event. Any acknowledgment regarding Copyright should be included at the end of the abstract, presentation, or other materials, as these may be distributed to Conference Attendees. Guest Speakers who do not wish to give permission for the above terms and conditions should contact the ASCLS-MO Events Team at admin@asclsmo.org prior to the commencement of the Conference.

Use of Multimedia at the Event

In order to comply with international data privacy laws, ASCLS-MO imposes certain restrictions on the use of multimedia at its Conferences (i.e., photography, video, audio, online streaming, and all future mediums). Please note that ASCLS-MO imposes different photography/streaming/recording and social media rules for Exhibitors and Attendees from Exhibiting companies at the Conference (as further clarified in the Exhibitor Rules & Regulations because these groups are representing ASCLS-MO at the Conference).

  • Exhibitors and Attendees: ASCLS-MO prohibits the use of cameras and mobile recording devices at all Conference Sessions and on the Exhibit Floor during exhibit/show hours. For all other areas of the Conference, ASCLS-MO (and at times approved third parties) may hire professional service providers (photo/video/audio/streaming) to document and showcase the Conference experience. For virtual Conferences, ASCLS-MO prohibits the use of screenshots and/or any other technology that can be used to capture proprietary content and images from our website or applications.
  • For Exhibitors: When a company contracts with ASCLS-MO to exhibit at a Conference, they are representing ASCLS-MO. As such, we will allow them to photograph/stream/record their Conference experience and booth set-up, provided they comply with the Exhibitor Rules & Regulations. Among other things, Exhibitors must use ASCLS-MO’s dedicated production provider or must film their booth set-up before or after official trade show floor hours of operation. 
  • For Attendees: ASCLS-MO leverages social media to post real-time Conference photos and videos to its social media feed(s) and may display select submissions from those feeds on screens throughout the venue. Attendees are encouraged to capture their Conference experiences in the permitted areas of the Conference venue and post their own social content from the Conference (text, photos, audio, video, streaming), provided it does not defame other Conference Attendees or Exhibitors or infringe on copyrighted ASCLS-MO branding and content. ASCLS-MO will determine in its sole discretion which posted content will be displayed on the screens at the Conference venue.

By attending the Conference, you acknowledge and agree as follows: (a) ASCLS-MO may edit and use the footage it captures at ASCLS-MO Conferences for marketing and promotional activities and for any other lawful purpose in the ordinary course of its business; and (b) Due to the prevalence of mobile recording devices in today’s world, ASCLS-MO disclaims all liability for the capture of your image by Attendees (who are not under sponsorship contracts with ASCLS-MO) in any multimedia format at the Conference.

Meetings – Both In-Person and Virtual

Antitrust Guidelines

During the course of the Conference, it is not uncommon for Attendees to participate in meetings, ad-hocs, or scheduled sessions with other companies in the same industry. In any such situation, you agree to adhere to the following Antitrust Guidelines.

Attendees in ASCLS-MO Conference activities must be sensitive to discussion topics that might implicate antitrust/competition laws. To ensure that the Attendees understand and comply with these laws, ASCLS-MO provides you with these Antitrust Guidelines, constituting basic rules for interacting designed to avoid antitrust issues. We encourage you to review the Guidelines carefully and consult your own legal counsel if you have any questions. The Antitrust Guidelines are applicable globally and incorporated into the meeting and/or online registration materials for all ASCLS-MO Conferences and offerings. Along with the Antitrust Compliance Policy Statement, see below; the Antitrust Guidelines are intended to remind Attendees of their obligations in connection with their involvement in ASCLS-MO Conferences and activities.

Antitrust compliance is the responsibility of every Attendee; as such, we ask that you keep these Guidelines in mind when interacting with other Attendees at any ASCLS-MO Conference or activity.

ASCLS-MO assumes no responsibility for ensuring that Attendee activity discussions are appropriate and not in violation of any antitrust/competition laws. As an Attendee, you must consult your own legal counsel if you have any questions.

Basic Rule: Agreements, whether written or verbal or those that may signal or otherwise constitute tacit understandings that have the effect of lessening competition, could violate antitrust laws and expose Attendees of the ASCLS-MO Conference or activities to substantial legal liability.

Note: Potential competitors are subject to the same rules as actual competitors, and you should take care to follow all of the Guidelines.

Attendee Activities/Antitrust Compliance Policy Statement

As described above in the Antitrust Guidelines, all Attendees in any ASCLS-MO Conference must comply at all times with all applicable antitrust laws and refrain from engaging in anticompetitive conduct. This includes, but is not limited to, the following:

  • Discussing or actively setting prices or production capacity.
  • Discussing or disclosing customer-specific information.
  • Discussing or actively dividing or allocating markets or customers.
  • Discussing or actively engaging in boycotts or refusals to deal.
  • Discussing or taking joint action against a customer, supplier, distributor, or competitor.

ASCLS-MO One-on-One Meetings

ASCLS-MO One-on-One Meetings are offered at some ASCLS-MO conferences and are available to Attendees who have a full Conference registration for the Conference. Payment must be received in full prior to scheduling a one-on-one meeting. An additional person within the same organization can be requested to attend, space permitting. There is a limit to the number of One-on-One meetings to which each Attendee is entitled to, as well as a limit on the number of One-on-One meetings allotted per organization. Each One-on-One meeting booked by an individual Attendee and/or organization must be with a separate content expert, Attendee, or Exhibitor.

ASCLS-MO One-on-One meetings are not to be used for vendor product/service updates and briefings. The topic will need to be inquiry-based and fall under the content experts, Attendee’s, or Exhibitor’s respective knowledge areas. All One-on-One meetings are subject to review by ASCLS-MO. If an appropriate topic is not provided, the Attendee will be contacted to provide further details or an alternative topic. Attendees interested in coordinating a meeting may contact the ASCLS-MO Event team and schedule a meeting following the event by emailing admin@asclsmo.org. ASCLS-MO reserves the right to stop the One-on-One meeting at any point should it evolve into a vendor briefing.

An ASCLS-MO Conference is an open environment with large numbers of Attendees and Exhibitors. While ASCLS-MO will keep confidential the specifics of your discussion with the content expert, Attendee, or Exhibitor, we encourage you to take the proper precautions during your One-on-One meeting to ensure you do not inadvertently disclose sensitive information to bystanders. To help protect the security of your One-on-One meeting, ASCLS-MO prohibits any and all recording of One-on-One meetings.

Exhibitor Meetings

Conference Attendees may request a meeting with a Conference Exhibitor by providing ASCLS-MO’s Events team with their personal contact information (PI) via email at admin@asclsmo.org. The ASCLS-MO Events team will share this Attendee PI with the requested Exhibitor solely to contact the requested Exhibitor on Attendee’s behalf in order to coordinate the meeting time and location. During a virtual Conference, Attendees may request to be contacted by an Exhibitor. By making this request, the Attendee is agreeing to share their personal contact information with the Exhibitor and allowing the Exhibitor to contact them.

Exhibitor Functions

At times, ASCLS-MO may contact you on behalf of an Exhibitor to invite you to a function such as an exclusive lunch, dinner, or other event/activity. To help Exhibitors plan for these functions, we may share a list of Attendee company names, job titles, and countries (but not name or contact details). You may opt out of this sharing by emailing the ASCLS-MO’s Events team at admin@asclsmo.org. You will also have the opportunity to decline an invitation to attend such functions. 

Conference Wireless/Internet Security

This applies to in-person Conferences only. ASCLS-MO Wireless which may be provided at Conferences is a free open wireless internet service provided to ASCLS-MO Attendees for use at ASCLS-MO Conferences. By using the wireless service, you agree to the following terms and conditions:

  • The ASCLS-MO Conferences Attendee Wireless Service is a complimentary service that allows authorized users to access the internet during their visit to an ASCLS-MO Conference. By accessing the ASCLS-MO Wireless, you acknowledge that you are an authorized user of ASCLS-MO’s system. You further understand that your access to the system is an unencrypted public wireless network and that you are solely responsible for ensuring the privacy and integrity of any transmissions you make or receive, as well as the safety and security of any systems you attach to the ASCLS-MO Conferences Attendee Wireless Network. You understand the unencrypted access to the public internet and take full responsibility for any necessary security precautions, including encrypting confidential transmissions and backing up any data. You agree that ASCLS-MO may routinely monitor, audit, intercept and disclose communications over its networks for security, performance, and other purposes, and may remove an attached system from the ASCLS-MO Conferences Attendee Wireless network at any time for any reason. This information may include but is not limited to the device, user, and location data while on ASCLS-MO’s network.
  • Limitation of Liability — Under no circumstances, where applicable law permits, shall we be liable for any direct or indirect damages resulting from your use of the ASCLS-MO Wireless service or any of our websites or mobile apps, whether or not we have been advised of the possibility of such damages. In no event shall our total liability to you for all damages and losses exceed the amount paid by you, if any, for accessing the ASCLS-MO Wireless Service or our websites or mobile apps. We have no duty to update the Service or the contents thereof. If you are dissatisfied with the service, your sole and exclusive remedy shall be to discontinue the use of the Service.

Conferences Services

ASCLS-MO provides tools and services that are designed to help attendees get the most value out of their Conference experience. To ensure a positive experience is had by all, we require Attendees to adhere to the ASCLS-MO Conference Code of Conduct, as listed below.

Conference Website and Mobile Application

When building your agenda and setting up your Conference experience within the Conference tools (which may not be available for all conferences), ASCLS-MO may evaluate the content you access and the choices you make to provide you with recommendations and ensure the most effective ongoing service and support. ASCLS-MO will not share this information with any third party without your prior written consent.

Attendee List and Messaging

As a Conference Attendee, you may be entitled on Conference Mobile Application or Website to opt-in to the Attendee list and messaging features (which may not be available for all conferences). These features are designed to help Attendees find and connect with their peers (e.g., Attendees and Exhibitors) before, during, and after the Conference. Certain features within the Conference Mobile Application or Website are not available to vendors and service providers.

Other Attendees can view the profile information you supply, but will not have access to your personal email address, or any other contact information about you, unless you choose to explicitly provide it to them in your online posts, messages, meeting invitations, or some other vehicle of your choice.
Your usage of these features is bound by our ASCLS-MO Conference Code of Conduct.

Push Notifications

When using the Conference Mobile Application or Website, you may be presented with the ability to allow ASCLS-MO to send you Conference notifications. These notifications may include alerts, sounds, and icon badges. ASCLS-MO utilizes these notifications to communicate upcoming Conference features, schedule changes, and important Conference information.

These notification settings can be configured at any time within the settings section of your mobile device.

Presentation Materials

You may receive access to ASCLS-MO and third-party licensed content (“Presentation Materials”). ASCLS-MO is not liable for the information in the Presentation Materials. You may use these presentations and session audio/video recordings where available solely for your own internal, non-commercial purposes. Unauthorized distribution (via sales, copying, posting on intranet/internet) is expressly forbidden. Excerpting or quoting is permitted with prior written approval from the ASCLS-MO Events team, and you can reach them at admin@asclsmo.org.

NOTE: Some of our services are available on mobile devices. We encourage you not to use such services in a way that distracts you and prevents you from obeying traffic or safety laws. 

End User and Vendor Status

End User/Vendor Status

ASCLS-MO defines an end user as an employee from an end-user organization or an employee from a vendor organization in charge of evaluating, purchasing, or managing resources, products, and/or services for their organization’s internal usage. An end-user organization does not offer products, services, or solutions associated with the domain of the Conference.

ASCLS-MO defines a vendor as an employee from a vendor organization in charge of designing, delivering, promoting, selling, or servicing products and/or solutions related to the domain of the Conference. A vendor organization offers products, services, or solutions associated with the domain of the Conference.

Certain aspects of the Conference and features within the ASCLS-MO Conference website and mobile application (where available) are available exclusively to end users. These include viewing the Attendee list, messaging other Attendees, and attending interactive sessions.

Your end-user or vendor status is determined at the sole discretion of ASCLS-MO, and we reserve the right to change your status at any given time.

Nondiscrimination and Anti-Harassment Policy

ASCLS-MO prohibits discrimination, harassment, and bullying against any person for any reason – for example, because of age, ancestry, color, disability or handicap, national origin, race, religion, gender, sexual or affectional orientation, gender identity, appearance, matriculation, political affiliation, marital status, veteran or military status, genetic information, or any other characteristic protected by law.

ASCLS-MO is committed to diversity, equality, and providing a safe and productive environment that fosters open dialogue and the free expression of ideas, free of harassment, discrimination, and hostile conduct. We recognize a shared responsibility to create and maintain that environment for the benefit of all. We do not tolerate harassment, discrimination, abuse, threats, or bullying of any kind.

Conference Code of Conduct

The Conference Code of Conduct outlines our expectations for all Attendees at an ASCLS-MO Conference and for those who utilize ASCLS-MO’s Conference Services. Conference organizers will enforce this Code and expect cooperation from all participants and Attendees to help us promote a safe environment and a productive and enjoyable Conference experience for everyone.

Please do:

  • Maintain a respectful, considerate, and courteous attitude towards everyone you engage with online, at the conference, and at the venue.
  • Secure your belongings and be mindful of your surroundings and of your fellow participants.
  • If a situation looks concerning or could be dangerous, promptly notify conference organizers.
  • Provide clear, valuable, honest information.
  • Respect the diversity of thought from other Attendees.
  • Conduct your business and interactions at the Conference in compliance with all applicable laws, rules, and regulations.
  • Adhere to your respective antitrust guidelines and regulatory requirements when engaging in any peer activity or discussions at the Conference.
    • Make your messages and invitations useful and informative.
    • Make your messages and invitations relevant to the conference.

Please do not:

  • Demean, discriminate, abuse, harass, bully, intimidate, mock, ridicule, disparage, stalk, or threaten those whom you engage with online, at the conference, and at the venue.
  • Spam conference participants.
  • Disrupt the Conference events, sessions, presentations, activities, speakers, or Attendees.
  • Post content that is obscene, lewd, sexual, lascivious, filthy, violent, harassing, libelous, slanderous, or otherwise objectionable (as determined by us).
  • Post content that is false, inaccurate, or misleading.
  • Wear clothing not suitable for a professional work environment.
  • Possess any item that can be used as a weapon, which may cause danger or harm to others if used inappropriately.
  • Possess alcoholic beverages in areas not specifically designated for the consumption of alcohol.
  • Possess any illegal substance.
  • Be under the influence of substances to the point of unseemly intoxication (e.g., alcohol or drugs).
  • Smoke or vape other than in designated areas.
  • Use an ASCLS-MO Conference for commercial or advertising purposes. Conference organizers reserve the right to escort away any individual from the conference who is reported to be soliciting and who is not an ASCLS-MO exhibitor at the Conference. 
  • Post copyrighted content without permission from the owner.
  • Fail to obey any verbal or written instruction from ASCLS-MO staff, volunteers, or representatives.

Reporting Violations of this Policy

If you have been (or notice that someone else has been) impacted by someone failing to adhere to this Code of Conduct or have additional concerns, please get in touch with a member of the ASCLS-MO Events Team by emailing admin@asclsmo.org.

In the event of an emergency, please get in touch with the local authorities immediately.

Consequences of Unacceptable Behavior

Unacceptable behavior will not be tolerated at ASCLS-MO Conferences. Anyone engaged in unacceptable behavior is subject to expulsion from the Conference without warning or refund. Any expulsion may also result in a prohibition from registering for or attending future ASCLS-MO Conferences. All determinations are at the sole discretion of ASCLS-MO and its representatives and will be considered final.

Disclaimer

ASCLS-MO may, at any time, with or without giving notice, in its absolute discretion and without giving any reason, change, cancel, or postpone the Conference, change its venue or any of the other published particulars, or withdraw any invitation to attend. In any case, neither ASCLS-MO nor any of its officers, employees, agents, members, directors, volunteers, or representatives shall be liable for any loss, liability, damage, or expense suffered or incurred by any person.

ASCLS-MO reserves the right to change, amend, add, or remove any of the above Terms and Conditions in its sole discretion and without prior notice. If one or more of the conditions outlined in these Terms and Conditions should become invalid, the remaining conditions will continue to be valid and apply. These Terms and Conditions apply to all Conference participants (attendees, speakers, sponsors, exhibitors).

The views expressed by any Conference Attendee, speaker, Exhibitor, or sponsor are not necessarily those of ASCLS-MO. All Attendees, speakers, Exhibitors, and sponsors are solely responsible for the content of all individual or corporation presentations, marketing collateral, and/or advertising.
